# Eliot Commencement Weather Plan

## **Eliot House Rain Plan and Extreme Weather Plan**

##### **Communication:**

All rain and extreme weather plans are posted on the Eliot website, and a QR code will be displayed throughout the building and shared via email with all graduating seniors to share with their families.

##### **Rain Plan:**

Eliot House utilizes three tents in its courtyard: two for guests and one for students. In the event of rain, there will be no changes to the diploma ceremony, and the ceremony will proceed as scheduled.

#### **Extreme/Severe Weather Plan**

###### Time Frame

The Senior Staff will determine whether to enact the extreme weather plan as early as 8:00 AM on the day of commencement. We will continue to update via email to all Eliot House seniors.

In the event of severe weather, such as lightning, all guests will be instructed to seek shelter within Eliot House and informed that the ceremony will be delayed by no more than one hour. We will then activate the emergency plan. Anyone with mobility difficulties will be instructed to head to the dining hall.

If the senior staff decides that a delay is not feasible, which would be no more than one hour, the class will be divided into three groups of approximately 50 students. Each group will be provided a time to receive their diplomas. The Eliot library is the best option to host the group ceremonies, except that it is not accessible. This plan will also be shared on the Eliot website and with all Eliot Seniors.

All guests who are not participating in their assigned ceremony will be sheltered in place. HUDS will keep the lunch buffets set up for those not participating in their students' ceremony, and the groups can pick up their lunch and eat it wherever they find space.

Mops, paper towels, and any other necessary materials for water cleanup will be coordinated by the building manager and shared with the custodial staff.
